2023 Summit and Peak Registration and Payments Policy

 

REGISTRATION POLICY
  • To register your group for camp, a $50 per person deposit is required at the time of group registration. Deposits are non-refundable, but they are transferable to your camp balance. A Credit Card or Electronic Check is required for deposits.
  • The individual drop rate for your group is limited to 20%. This is based on our contract with Ponderosa. Your group will be responsible for the full payment of any cancellations over 20% of your total reservation. Managing this well helps us keep camp fees low and ensures we can serve as many groups and students as possible.
  • Final payments and forms are due by your first day of camp. Final payments are to be made by check to Ponderosa Retreat and Conference Center 15235 S Furrow Road Larkspur, CO 80118. You may also mail your check before camp starts.
  • Registration closes 2 weeks before your first day of camp. This includes student and adult registrations.
  • Your group must have the appropriate ratio of students to adults. Peak is 8:1 and Summit is 10:1.

 

PAYMENT POLICY
All deposit payments must be made by Credit Card or Electronic Check at the time of group registration. Deposits are non-refundable, but applicable to camp balance.
Your group is responsible for its own system of tracking individual payments. This allows you the freedom to easily provide scholarships, or to fundraise, without the complication of facilitating individual payments via the Camp Wise Software.
Final numbers and formss are due two weeks before your first day of camp. For balance due, we accept checks which are to be mailed to Ponderosa. This allows us, and ultimately your group, to avoid unnecessary bank fees.
Your group is responsible for the full registration fee for any cancellations over the 20% of your total reservations. For example, if you reserve 20 spots for camp, you can have up to 4 cancellations and the deposits for these spaces will be applied to your balance due. Any cancellations over 4 will result is being charged the full registration price for those reservations. Please be conservative with your planning.
EXEMPTIONS
We get it. Ministry and planning for camp is challenging. Our policies are not designed for punishment, but are designed to be fair to all groups. We want to ensure everyone gets to camp that wants to be at camp. We also need to minimize empty spaces at camp which creates added expenses for Ponderosa and ultimately the students who want to attend. With that being said, we will work with your church to navigate any special and unforeseen circumstances that would prevent you from meeting the financial requirements of our policies.
